New software from a specialist Swindon firm enables organisations to streamline their compliance management and remain on the right side of the law.

Designed by Swindon-based Compliance Systems, Compliance Tracker enables organisations to keep on top of all their compliance, instead of relying on spreadsheets and manual checks.

Now social enterprise Oxford Wood Recycling, along with Orbis Environmental and Safety Consultancy, are both using Compliance Tracker.

Compliance Systems owner, Philip Blunt, designed the cloud-based software, and growing numbers of organisations are taking advantage of the system, which saves significant time and eliminates the risk of missing important compliance checks.

“The software tells you what to do, when to do it, what you’ve missed and what’s coming up. In a nutshell, we remember so our clients don’t forget,” said Philip.

“It has been a real pleasure to roll out the system to the teams at Oxford Wood Recycling and Orbis, and to be able to help these organisations stay on top of their compliance management.”

Oxford Wood Recycling, based in Abingdon, is a social enterprise which creates high quality products from unwanted wood. It also provides employment opportunities for people with a disadvantage, enabling them to get back into the workplace.

The enterprise uses a range of machinery, so Compliance Tracker is used to alert them when staff are due refresher training. Each worker wears masks whose filters must be replaced on a regular basis, which the software keeps track of.

It also keeps track of the company’s fleet of vehicles, when they need MOTs and servicing, and it is helping the team to ensure Safe Working Practice policies are updated and reviewed when required.

Until Compliance Tracker was implemented, the organisation’s data was kept across different spreadsheets, which required regular, manual checking to ensure nothing was missed, a time-consuming process which carried the risk of critical tasks being overlooked.

Laura Hutt of Oxford Wood Recycling said: “Compliance Systems offer a fabulous service throughout. Philip was very helpful, informative, and patient with regards to the training, and explained everything clearly from start to finish.

"He helped with the implementation by going through all our data with us to check everything was correct and what we wanted.

"The system is very easy to use and navigate and will be a great help with keeping us up to date and compliant.”

Orbis Environmental and Safety Consultancy, based in Bridgend, provides a range of safety and compliance services, including risk assessments for fire, legionella, noise, and hazardous substances.

It has taken over the compliance for drug, alcohol, and mental health support charity With You, which has centres across the UK.

The Compliance Tracker software is now managing the compliance process for Orbis on behalf of With You.

Philip added: “We offer a full implementation service, which differentiates us from other software system providers, and makes the process as simple as possible for the client.

"When we take on a new client, we help them identify and collate their data, build their system with the data in it, and go out on site to train the team in how to use it.

"Our clients can usually go live with a fully built system within a week, once we have their data, so Compliance Tracker is very quick to deploy.”

Compliance Tracker is described as ideal for sectors including health and safety, property management, schools, and financial compliance – in fact, any sector where there are many different compliance requirements to keep on top of.
