Whether your fairground or carnival event is for your company, school, community, or even your child's birthday party, it's an excellent way to celebrate an occasion or event. And if you're doing it to raise money for a worthy cause, kudos to you! But it's an undertaking that is not for the faint of heart – you have to be ready (and willing!) to plan this kind of event so that everything goes smoothly and your event can be successful. But how would you plan a fairground or carnival event as efficiently as possible? Here are some top tips to remember.

Plan everything in detail and be organised

If you have been tasked to lead the planning for this event, it already means that you are well-organised! But it takes more than being organised – you have to plan everything in detail and make sure that every detail is well thought out. You could save time on meetings by sending out the details electronically – better yet, find a planning software that allows you to plan everything. For a minimal fee, it is absolutely worth it.

Also, don’t forget to set your goals and objectives from the start. With this, you and your team are more likely to reach milestones – but make sure your objectives are attainable.

Set a budget, a theme, and a team

Teamwork ensures that every detail is accounted for, so choose your team wisely and recruit people who show the best skills in that aspect. Now is the time to pick your volunteers – do it in advance so it'll be more manageable. Then, of course, you have to set a budget – but when setting a budget for your event, think about it carefully and, most of all, be realistic, as fairground hire specialists such as We Are Tricycle suggest. You might also want to decide on your event's theme – it makes planning much more straightforward and fun!

Check out other events

You may also want to check out other events in your local area. Again, it will help if you do research, and it will help you decide what must-haves your event should have.

Be mindful of proper communication

As you work with your team, assign people to their ideal roles. For instance, if someone is good at keeping track of finances, it makes sense to put them in charge of accounting and finance. But aside from this, be mindful of proper communication. Send updates and reminders to your team daily so your team is in the loop, and be aware of any feedback (especially negative ones) from your team and the volunteers. Schedule a meeting once a week leading up to the event to check if everyone is still on the same page.

It would also be a good idea to set up committees. Assign people to small groups who will be responsible for collecting sponsorships and donations, decorations, games, attractions and entertainment, advertising and promotions, and the setting up (and the taking down) of booths and stalls.

While you may be tempted to make everything complex, stick to the attractions and entertainment that are easy to tackle and easy to play, and choose those that don't require too much setting up. Most of all, have fun!
